HR Executive

Requirements

  1. Minimum of 2 years of proven work experience as an HR Executive or in a similar role.

  2. Professional Certificate, Diploma, or Bachelor’s degree in Human Resources Management or a relevant field.

  3. Familiarity with Human Resources Management Systems (HRMS) and basic knowledge of Google Workspace (Docs, Sheets, Slides).

  4. Comprehensive understanding of HR functions, including recruitment, employee relations, and performance management.

  5. Impeccable command of English, both written and spoken.

  6. Any additional HR-related training or certifications are a plus.

Primary Roles & Responsibilities

Employee Services & Welfare

  1. Assist the team in providing HR services to employees in a timely, accurate, and organized manner.

  2. Administer the employees’ welfare services such as off-boarding services (assignment and return of Company equipment & assets).

  3. Assist in the preparation of staff dinners and/or all Company events.

Attendance and Punctuality

  1. Oversee attendance tracking systems, ensuring accurate recording of leave, sick leave, and other absences.

  2. Analyze attendance data to identify patterns or irregularities and provide preliminary insights to management.

  3. Monitor and review work-from-home practices to ensure compliance with company policies and address any issues.

Policies, Procedures, and Compliances

  1. Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.

  2. Responds to inquiries regarding policies, procedures, and programs.

Compensation and Benefits Management

  1. Keeps records of benefits plan participation such as personnel transactions such as hires, promotions, transfers, performance reviews, and terminations, and employee statistics for government reporting.

  2. Administers benefits programs such as health insurance, annual leave entitlement, sick leave, leave of absence, and employee assistance.

Performance Management

  1. Coordinate and help organize performance review procedures, such as mid-year and annual evaluations and 360° feedback processes.

  2. Provide assistance to Supervisors in administering performance review programs, ensuring they are effective, compliant, and fair.

  3. Monitor and analyze the appraisal system to ensure it aligns with organizational goals and makes recommendations for improvements.

Recruitment & Staffing

  1. Lead in the placement of job advertisements and coordinate with agencies for staff placement.

  2. Oversee the preparation of offer letters and employment contracts, conduct character or referral checks, issue offers of employment, and ensure follow-up on acceptance.

  3. Coordinate the new staff orientation and onboarding processes with other HoDs.

  4. Monitor probationers’ progress and notify HoDs, the General Manager, and the CEO about due confirmations.

  5. Schedule interviews and manage the preparation of documentation.

  6. Keep a well-organized file of potential candidates for future job openings.

  7. Regularly update job descriptions and ensure they are current.

Employee Engagement

  1. Oversee the implementation and execution of employee engagement initiatives and programs.

  2. Coordinate and organize employee events, workshops, and activities to enhance a positive work culture.

  3. Conduct surveys and analyze feedback to assess employee satisfaction and engagement levels.

  4. Work with other departments to ensure effective communication and collaboration.

  5. Address employee concerns promptly and provide solutions to maintain a positive work environment.

  6. Support and contribute to the development and execution of recognition and reward programs.

  7. Play a role in onboarding processes to ensure new employees are engaged and integrated effectively.

  8. Monitor industry trends and best practices related to employee engagement and recommend improvements.

Training & Development

  1. Assist in sourcing and arranging appropriate training for all employees.

  2. Monitor and update the list of training courses attended by the employees.

  3. Assist in administering and coordinating the registration of professional development and assist in any internal and external training activities

HR Documentation and Others

  1. Oversee the maintenance of filing records for all HR processes, including physical copies and Gdrive documentation.

  2. Ensure documentation and records of the employee life cycle are well-organized and current.

  3. Contribute to the implementation and refinement of HR policies and procedures.

  4. Manage inventory levels of resources and supplies necessary for HR activities, including the administration of Google Forms.

  5. Assist in various tasks as needed to support Management in the effective administration of HR functions.

Office Administration & Operations:

  1. Oversee day-to-day office administration, including asset management, equipment maintenance, and parking facilities.

  2. Procure and manage office supplies, equipment, and cleaning materials, ensuring inventory is well-stocked and equipment is maintained.

  3. Serve as the primary contact for office-related inquiries, ensuring compliance with company policies and procedures.

  4. Coordinate with building management on facility issues, ensuring a safe and clean work environment through regular inspections and maintenance.

  5. Supervise cleaning staff and manage health, safety, and cleanliness protocols to maintain a hygienic office space.

  6. Assist in planning and executing office events, while handling procurement, vendor management, and contract negotiations to ensure cost-effective operations.

  7. Review and approve purchase orders, monitor expenses, and maintain strong supplier relationships.

Other Responsibilities

  1. To be responsible for the safekeeping and general usage of the Company’s assets in employee possession and Company facilities provided.

  2. To be dressed presentably and to maintain professionalism during client meetings.

  3. To uphold C27’s brand image at all times, during working and non-working hours, in-office or out-of-office grounds.

Miscellaneous Responsibilities

  1. You constantly observe C27’s culture and practices, working to uplift the Company’s good name.
